We run one payroll platform on purpose. Knowing one system thoroughly means fewer mistakes than knowing four of them adequately.

Gusto files the taxes, handles direct deposit and gives your team self-serve access to their own pay stubs and W-2s. It connects cleanly to QuickBooks and Xero, which is what makes the monthly reconciliation reliable rather than manual.

The Gusto subscription is billed by Gusto, in your name, and stays yours if you leave.

What we do not do

Said up front, so nobody finds out in month three.

  • We do not work in other payroll platforms. If you are on ADP, Paychex or Square, moving to Gusto is part of the engagement.
  • We are not an HR department. We do not write handbooks, run disciplinary processes or advise on employment law. We will tell you when you need an employment attorney.
  • We do not handle payroll for home care agencies. Caregiver pay rules are their own specialty and we would rather point you at someone who does it every day.
  • We do not administer benefits plans or act as a broker. Gusto can carry benefits your broker sets up, and we will keep the deductions correct.
  • We do not represent you before the IRS or the EDD. If a notice arrives we will help you understand it and work with your CPA or attorney.

Payroll FAQ

Do I have to move to Gusto?

Yes, if you want us running payroll. We work in one platform on purpose, because knowing one system thoroughly produces fewer mistakes than knowing several of them adequately.

The migration is part of setup. We bring over your employees and your year-to-date figures and check them against filings you have already made, so the W-2s at year end are right.

Can I still run payroll myself?

Yes. Plenty of clients enter hours and approve the run themselves, which takes a few minutes in Gusto, and leave the setup, the mappings, the filings and the reconciliation to us.

If you would rather not touch it at all, send us hours by the cutoff and we will submit the run and confirm it back to you before money moves.

What does the add-on cost?

It is quoted on your headcount and pay frequency, because ten employees paid weekly is a different amount of work from three paid twice a month. You get one number in writing before anything starts.

On the Enterprise Advantage plan payroll is included in the monthly fee, so there is no add-on at all.

Who is responsible if a filing is late?

Gusto files and pays the payroll taxes and carries its own guarantee on those filings. Our job is to make sure the underlying data is right and the deadlines are watched, and to tell you immediately if something looks wrong.

If a notice arrives, we help you read it and sort it out rather than leaving you to work out what the agency wants.

Can you do payroll without doing my bookkeeping?

No. Payroll is an add-on to a monthly bookkeeping plan, or part of the Enterprise Advantage plan. The value is in the reconciliation, and we cannot reconcile a file we do not maintain.

What if I have employees in more than one state?

Tell us on the first call. Gusto handles multi-state payroll, but every additional state means another registration and another set of filings, and it changes the quote. We will be straight with you about whether it is a good fit rather than finding out later.
