SOUND FAMILIAR?

If any of these are true, you're paying
for it somewhere

Most people don't call a bookkeeper because they want better reports.
They call because something is already going wrong.

You're months behind

Receipts in a shoebox, a QuickBooks file nobody's touched since spring, and a tax deadline getting closer.

Catch-up & cleanup
You're doing it at 11pm

Categorizing transactions on a Sunday night instead of running your business or sleeping.

Full-service bookkeeping
Don't know if you made money

The bank balance looks fine but you couldn't say which jobs, shifts, or products are actually profitable.

Monthly reporting
Your bookkeeper vanished

They stopped replying, retired, or handed you a file you can't open. It happens more than you'd think.

Payroll keeps going wrong

Overtime, travel pay, split shifts, California's rules. One mistake gets expensive fast.

Payroll services
Growing and it's breaking

What worked at $300K doesn't work at $1.5M. Inventory, AP/AR & multi-channel sales need real systems.

Specialist experience

We didn't learn home care from a textbook.
We owned one.

Most bookkeepers have never seen a franchise royalty accrual or tried to reconcile caregiver travel pay. We've been doing it since 2013 for In-Home Care Providers.

  • Your franchisor's P&L submission format, done right the first time
  • Caregiver overtime, travel time, split shifts and live-in rules under your state's law
  • Gross margin by client and by shift, not just one number for the whole agency
  • Cash-flow planning around weekly payroll and slow private-pay receivables

Where the experience comes from

Thirteen years doing the books for a Senior Helpers franchise owner, royalty and ad-fund accruals, the corporate P&L submission, and caregiver payroll every single pay period.

The same work applies at

  • Visiting Angels
  • BrightStar Care
  • Home Instead
  • Comfort Keepers
  • Independent agencies

Non-medical, private-pay home care is a different animal from home health. We don't do Medicare billing, we do the books, the payroll, and the margin analysis for owner-operated agencies.

who you'll be working with

A husband-and-wife team, based in Ventura

No call center, no offshore back office, no account manager you'll never meet. Just the two of us — and you'll know which one is doing what.

Dianna does the books. Thirteen years as a bookkeeper, starting with her own, she owned and operated a Senior Helpers franchise, so she's made caregiver payroll every two weeks and submitted the P&L to corporate on their schedule.
Ted handles systems and strategy. Thirty years in accounting and financial technology, including time at Intuit and Xero, working with everything from one-person shops to large finance teams.

You'll work with both of us, and we pick up the phone.

How it works

From first call to clean books in about two weeks

1

A free 20-minute call

Tell us what you’ve got and what’s going wrong. We’ll tell you honestly if we’re the right fit — and if we’re not, who is.

2

A written quote in 24 hours

A flat monthly price and, if you need cleanup, a one-time flat fee. No hourly estimates that grow.

3

Onboarding & catch-up

We connect your accounts, set up or fix your software, and get you current before the first regular month begins.

4

Every month after

Books closed by the 15th, statements delivered, and a call to walk you through what the numbers mean.

Common questions

Before you call

How much does a bookkeeper cost in California?

For a small business in Ventura County, expect roughly $300–$800 a month for ongoing bookkeeping, depending on transaction volume, whether you carry inventory, and whether payroll is included. Hourly bookkeepers typically run $40–$85 an hour, which sounds cheaper until the hours add up unpredictably.

Our plans start at $299/month and are flat — you’ll know the number before we start.

Do I need a bookkeeper or a CPA?

Most growing businesses need both, doing different jobs. A bookkeeper keeps your books accurate month to month. A CPA files your taxes and handles tax strategy.

We’re not a CPA firm and we don’t file your return — we make sure that when your CPA opens your file in March, everything is already clean. That usually costs you less at tax time, not more. We’re happy to work alongside the CPA you already have.

My books are a disaster. Is it too late?

Almost never. We’ve picked up files that were three years behind. Cleanup is quoted separately as a one-time flat fee so it doesn’t balloon, and most catch-up jobs take two to six weeks depending on how far back we’re going.

See catch-up & cleanup →

Who will actually be doing my books?

Dianna. She’s been a bookkeeper for thirteen years and she owned and ran a Senior Helpers franchise, so she’s done this from the owner’s side of the desk too. Ted handles software setup, integrations and reporting.

There’s no call center and no offshore team — you’ll deal with the two of us, and Dianna is the one who picks up the phone.

Do you work with businesses outside Ventura County?

Yes. Everything we do works remotely, and we serve home care agencies nationwide. That said, we’re based in Ventura and most of our clients are within about thirty miles — if you’d rather meet in person, we can.

What software do you use?

QuickBooks Online and Xero, primarily, plus Gusto for payroll. We’re certified in all three.

If you’re already on something else, we’ll tell you honestly whether it’s worth migrating or whether we should just work with what you have.

What happens to my data if I leave?

Your accounting file stays in your name and your ownership — we get access, not custody. If you ever leave, you keep everything, and we’ll hand off cleanly to whoever’s next.

That shouldn’t be remarkable, but it is.
